Venue Coordinators vs. Wedding Coordinators: What’s the Difference?

As a wedding planner at Liffcake Parties, one of the most common questions we hear from couples is:

“Our venue includes a coordinator — do we still need a wedding coordinator or planner?”

It’s a great question, and one that can make a big difference in how smooth (or stressful) your wedding day feels. While both roles are important, they are very different in responsibility, focus, and who they ultimately work for.Let’s break it down.

What Does a Venue Coordinator Do?

A venue coordinator works for the venue, not the couple.Their primary role is to ensure the venue’s policies, timeline, and logistics are followed. This typically includes:

  • Managing access to the space

  • Enforcing venue rules and contracts

  • Overseeing venue staff

  • Coordinating setup and breakdown times related to the venue

  • Being the main point of contact for venue-specific needs

Venue coordinators are incredibly valuable — they know the space inside and out. However, their responsibility begins and ends with the venue itself. They are not responsible for:

  • Managing your vendors

  • Creating or running your wedding timeline

  • Handling décor setup outside of venue-owned items

  • Solving personal or vendor-related issues

  • Ensuring your vision is executed

What Does a Wedding Coordinator or Planner Do?

A wedding coordinator or planner works for you. At Liffcake Parties, our role is to manage everything else — the details, the people, the timeline, and the unexpected moments — so you can actually enjoy your day. Wedding coordination typically includes:

  • Creating and managing a detailed wedding day timeline

  • Communicating with all vendors before and on the wedding day

  • Overseeing décor setup and breakdown

  • Managing ceremony and reception flow

  • Handling last-minute changes or emergencies

  • Being the point person for family, wedding party, and vendors

In short: we run the wedding day, not just the building it’s in.

Why You Need Both

Venue coordinators and wedding coordinators are not interchangeable — they’re complementary. Think of it this way:

  • The venue coordinator protects the venue

  • The wedding coordinator protects you

When both roles are present, everyone can focus on what they do best. The venue runs smoothly, vendors know exactly where to be, and the couple gets to stay present, relaxed, and stress-free.

Where Liffcake Parties Comes In

At Liffcake Parties, we work hand-in-hand with venue coordinators to ensure a seamless experience. We respect venue policies while fully advocating for our clients and executing their vision with intention and care. Whether you need day-of coordination, partial planning, or full-service planning, our goal is always the same:

  • A well-run event

  • A calm, confident couple

  • A beautiful celebration that feels effortless

Final Thoughts

If your venue includes a coordinator, that’s a great start — but it’s not a replacement for a wedding coordinator or planner. Your wedding day deserves someone whose sole focus is you, your vision, and your experience. If you’re unsure what level of support you need, Liffcake Parties would love to walk you through your options and help you choose what’s right for your day.
